Common Errors and FAQs

Are there any pre-requisites to syncing Timecard Entries?

Yes - the following must be synced beforehand so that Agave can resolve each Procore reference to its Sage Intacct counterpart:

  • Employees
  • Projects (Jobs)
  • Cost Codes (Tasks)
  • Cost Types

In addition, every Procore Time Type in use must be mapped to a Sage Intacct Earning Type. See How do Procore Time Types map to Sage Intacct Earning Types? below.

Which Procore Timecards are synced?

By default, Agave Sync only pulls Timecards that are Approved or Completed in Procore. Timecards still in Pending or Reviewed status are left alone until they progress.

If a Timecard hasn't appeared in Sage Intacct, the most common reason is that it hasn't been approved yet in Procore. This filter can be adjusted - reach out to your Agave Account Manager if you need different behavior.

How do Procore Time Types map to Sage Intacct Earning Types?

Sage Intacct requires a Time Type on each time entry, and Procore's Time Type names don't match Sage Intacct's. Agave bridges the two with a mapping configured by your Agave Account Manager.

The two lists do not need to match one-to-one. What matters is that every Procore Time Type you use points to some Sage Intacct Earning Type. Multiple Procore Time Types may point to the same Sage Intacct Earning Type - for example, both Overtime and Double Time can map to a single premium Earning Type.

If you add a new Time Type in Procore, send it to your Agave Account Manager so it can be mapped before Timecards using it are approved.

Why did my Timecard fail with "Earnings Type ... not found in earnings type map"?

Error message: Earnings Type {Time Type} not found in earnings type map ({list of mapped types})

The Procore Time Type on this Timecard has no Sage Intacct Earning Type mapped to it. Agave rejects the Timecard rather than guessing which Earning Type to use.

To resolve, send your Agave Account Manager the Procore Time Type shown in the error along with the Sage Intacct Earning Type it should map to. The error message lists every Time Type that is currently mapped, which is useful for spotting typos and newly added Procore Time Types.

How does Agave Sync determine which Sage Intacct Timesheet a Timecard is added to?

Sage Intacct does not store timecards as standalone records - each one is a line on a weekly Timesheet belonging to an employee. Agave Sync groups your Procore Timecards accordingly:

  1. Agave takes the Timecard's date and finds the start of that week (Sunday).
  2. It looks for an existing Timesheet in Sage Intacct for that employee, that week beginning date, in Draft status.
  3. If one is found, the Timecard is added to it as a new line.
  4. If none is found, Agave creates a new Timesheet for that employee and week, with the Timecard as its first line.

A full week of Procore Timecards for one employee therefore collapses into a single Sage Intacct Timesheet, with one line per Timecard.

Why are Timesheets created in Draft status?

Sage Intacct does not allow new lines to be added to a Timesheet that has already been Submitted. If Agave created Timesheets as Submitted, the first Timecard of the week would sync successfully and every later Timecard for that employee would fail.

Creating them as Draft keeps the Timesheet open for the rest of the week. Once your payroll team is ready, they submit the Timesheet in Sage Intacct as they normally would.

Because of this, a Timecard's approval status in Procore is not reflected on the Sage Intacct Timesheet - every synced Timesheet starts in Draft.

Why did my Timecard fail with "Timecard entries must have a unit of measure of Hours (HM)"?

Agave Sync only supports Timesheets measured in hours. A Timesheet using a different unit of measure cannot be read or added to.

To resolve, confirm the Timesheet's unit of measure in Sage Intacct is set to Hours (HM).

Are there limits on the Hours value?

Yes - Hours must be between 0 and 24, with at most 2 decimal places.
