Sub Jobs
Agave Sync allows for you to sync Sub Jobs from Vista to your Autodesk Build Budget Code structure.
How could I sync Sub Jobs from Vista?
Vista does not natively support a Sub Job structure (i.e., linking a Job to a Parent Job). However, by designing your Vista Job numbering scheme (mask) in a predictable format, Agave can sync these Sub Jobs to a single Project in your Project Management system.
Here is an example with Autodesk where the Vista Job number scheme is "XXXXX-XX":
- Parent Job Syncing: Parent Jobs will sync with a format such as "12345- " (note the spaces) and create a corresponding Project in Autodesk with this number.
- Sub Job Syncing: Sub Jobs are identified by characters following the hyphen ("-"). For instance:
- A Job like "12345-01" will create a Sub Job labeled "01" in your Autodesk Budget Code structure.
- Similarly, "12345-02" will create a Sub Job labeled "02."
Here is a visual mapping of this structure between Vista and Autodesk Build:
How do I determine my Job number scheme?
- In Vista JC Jobs, go to Tools-->Field Properties:
- Select the Property Values tab, then look at the Input Mask row:
You will want to share the "Current Value" for Input Mask with your Agave Account Manager to confirm the Sub Job scheme is set up properly. As an example, the Input Mask is "5R-2RN" in the above screenshot.
Can you reference multiple Sub Jobs when syncing an Accounts Payable record?
No. Subcontracts, Purchase Orders, Subcontractor Change Orders, and AP Invoices cannot include references to multiple Sub Jobs within the same record.
How is billing handled?
The Vista Sub Job must reference the same Prime Contract of the Parent Job. For example, the below Sub Jobs of "12345-01" and "12345-02" references their Parent Job's Prime Contract of "12345- " in Vista:
AR Invoices synced from Autodesk Build to Vista will be made against the Prime Contract of the Parent Job.
